Best Rent Collection Apps for PG Owners in India (2026)

How PG owners can collect rent on time: plain UPI vs rent collection apps, what to look for, a comparison of the main PG apps, and a reminder plan that works.

The best rent collection app for a PG is one that sends reminders by itself, lets tenants pay by UPI straight into your bank account, and marks each payment as paid without you checking your bank statement. Plain UPI apps like Google Pay and PhonePe move the money but do none of the tracking.

This guide compares the options and gives you a simple reminder plan you can start this month.

Why rent collection is the biggest monthly headache

In a 40-bed PG, rent comes from 40 different people on 40 slightly different days. Some pay by UPI, some in cash to the warden, some pay half now and half later. By the 10th of the month, most owners are asking the same questions:

  • Who has paid, and who has not?
  • Did that ₹6,500 come from Rahul or from Rohit?
  • How much cash did the warden collect, and where is it?
  • Whose late fee did I let go last month?

The tool you choose should answer all four without you opening your bank app.

Your three options

1. Plain UPI (Google Pay, PhonePe, Paytm)

Tenants send money to your UPI ID or scan your QR code.

  • Good: free, instant, and every tenant already has it.
  • Not so good: no reminders, no record of who paid for which month, and payments arrive with names that do not match your register. You still reconcile by hand.

You send each tenant a link that they pay through.

  • Good: each payment is tied to a tenant and an amount.
  • Not so good: you create links one by one, gateways may charge a fee per payment, and the money may reach your account a day or two later.

3. A PG management app with UPI collection

The app knows every tenant's rent and due date. It sends reminders, collects UPI payments and records them automatically.

  • Good: reminders, receipts, late fees and reports all in one place.
  • Not so good: there is a monthly fee, and you need to set it up once.

For a PG with more than about 15 beds, option 3 usually pays for itself through fewer late payments and less time spent chasing.

How the main PG apps compare on rent collection

This table covers only rent collection. It is based on each company's public website, price page and app listings as of October 2026. "Not listed" means we could not find the feature in their public material.

If you only need reminders and UPI for one small PG, the cheaper apps can be enough. If staff handle cash, or you want late fees and deposits handled without arguments, look for cash approval and an automatic late fee.

A reminder plan that works

Late rent is often simple forgetfulness, not refusal. A steady, polite reminder routine takes care of much of it.

  1. Pick one due date for everyone, for example the 5th, with a grace period of 2 to 3 days. Put both in the rent agreement.
  2. 3 days before the due date: a friendly WhatsApp reminder with the amount and a payment link.
  3. On the due date: a second reminder.
  4. The day after the grace period ends: the late fee is added automatically, and the tenant gets a message saying so.
  5. A week late: a personal call from you or the warden. By now this is a short list, not 40 calls.

Keep the tone the same for everyone. Tenants accept a late fee when it is applied evenly and was in the agreement from day one.

Tips that cut late payments

  • Write the late fee into the agreement at move-in, so it is never a surprise.
  • Send a receipt for every payment. It shows tenants their payments are tracked, and it ends "I already paid" arguments.
  • Make paying effortless. A link that opens their UPI app works better than "send to this number and tell me".
  • Reward on-time payers. A small reward, like a free laundry week after six on-time months, gives tenants a reason to pay early, not just a fear of paying late.
  • Check once a week, not every day. A dashboard that shows paid, due and late saves you from opening your bank app ten times a day.

Frequently asked questions

Is it safe to collect PG rent by UPI? Yes, as long as the money goes straight to your own bank account. Check that the app does not hold the money and pay it out later.

Can I still accept cash? Yes. A good app records cash too. Ask your warden to enter every cash payment, and approve it yourself, so cash and UPI appear in the same report.

What late fee is reasonable? There is no fixed rule. Many owners charge a small fixed amount per day after the grace period, with a cap. Keep it fair, put it in writing, and apply it to everyone.
